Google Business Profile Set-up: terms
Updated 16 October 2026
1. Who we are
Charlie Broddle, a UK sole trader trading as Fieldnote Search ("we").
Marble House, 14 Masonry Place, Hayes, London UB3 1EU. Email: [email protected].
Not VAT registered.
"You" means the business buying the set-up. We work only with limited companies and LLPs buying for their business.
2. What you get
A set-up of one Google Business Profile (one location or one service area):
- Claiming and verification. We help you claim or verify the profile. Google sends verification to the business itself (for example a code, a video or a phone call), so you complete that step and we guide you through it.
- Set-up work, once you've added us as a Manager (not an Owner) of the profile:
- primary and secondary categories;
- services and service areas;
- a business description, which you approve before it's published;
- checking that your name, address or service area, phone number, website and opening hours match your website;
- uploading up to 20 photos you send us;
- a review link, plus a short written routine for asking happy customers for reviews;
- up to 2 profile posts. - A written summary of everything we changed.
Not included: replying to reviews, ongoing posts, advertising, changes to your website, or paid photography. We never write, buy or reward reviews. That breaks Google's rules and can get a profile suspended.
3. Timing
We finish within 5 working days of being added as a Manager and receiving the information and photos we've asked for. Google reviews some edits before showing them, which can take longer. Google can also delay or reject edits, which is outside our control.
4. Price and payment
- £150. No VAT is charged because we are not VAT registered.
- Payment in full when you book, by Revolut payment link or bank transfer, unless the set-up is included free under the introductory offer in our Local Search Review terms.
- Nothing renews automatically.
5. Access to your account
- You stay the owner of your profile. We only ask for Manager access.
- We never ask for your Google password.
- When the work is done, we'll remind you to remove our access, or we'll remove ourselves on request.
6. Your part
- Give us accurate information about your business. You're responsible for its accuracy.
- Complete Google's verification steps when asked.
- Approve the description before we publish it.
7. Cancelling and refunds
- Before we start making changes: cancel by email for a full refund.
- Once we've started: the fee isn't refundable.
- If we don't deliver what section 2 describes, we'll put it right or refund.
8. No guarantees
Google decides which businesses appear in its results, and it can reject edits or suspend profiles. We do not and cannot guarantee map positions, calls, enquiries or sales. We follow Google's Business Profile guidelines. Fieldnote Search is not affiliated with or endorsed by Google.
9. Personal data in your profile
Your profile may contain personal data, such as reviewers' names. When we work on it, we act as your processor under UK GDPR Article 28. We:
- act only on your instructions, which are set out in these terms and in your emails to us;
- keep the information confidential and secure;
- use no other processors except the providers listed in our privacy notice (fieldnotesearch.co.uk/privacy/);
- help you respond to anyone exercising their data rights;
- tell you without undue delay about any personal data breach;
- keep nothing from your profile after the work ends, except our written summary;
- give you the information you need to show this is being done properly.
10. Liability
- Our total liability under or in connection with this set-up is limited to £150, whether or not you paid for it. The price reflects this limit.
- We aren't liable for loss of profit, revenue, business or goodwill, or for any indirect or consequential loss. That includes loss caused by Google's decisions about your profile.
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else the law doesn't allow us to limit.
11. Late payment, complaints and general
- Late payment: we may claim statutory interest and fixed compensation under the Late Payment of Commercial Debts (Interest) Act 1998.
- Complaints: tell us any way you like. Putting "Complaint" in the subject line of an email to [email protected] helps us spot it. We acknowledge complaints within 5 working days.
- These terms, plus your booking email or invoice, are the whole agreement. If any part is found unenforceable, the rest still applies. English law applies, and the courts of England and Wales have jurisdiction.
